Terms & Conditions

Introduction

This policy covers booking and cancellation terms and conditions for all students (both private and funded routes) of any of Cycle Systems’ courses and also for the Bike Doctor servicing arm of the business. By agreeing to these terms and conditions, you are deemed as having accepted the terms and conditions only relevant to the service you are buying. Please scroll down the page to see specific Bike Doctor terms and conditions.

Cycle Systems Academy

Company Statement

Cycle Systems is committed to running its planned schedule of courses as published on the Cycle Systems website without interruption. All courses are delivered and monitored to maintain the high quality for which the Academy is known.

Included in the Cost of the Course

Included in the price of the course advertised on this website are the following:

  • Tuition for one course of the specified description
  • Full certification – provided the course is passed – with a QCF awarding body (if appropriate to the course)
  • Cycle Systems branded accreditation stickers

Not Included in the Cost of the Course

The course does not include anything other than the above list, but specifically the cost does not include:

  • Accommodation, travel and expenses

In The Event of Our Cancellation

Should Cycle Systems Ltd need to cancel, relocate or reschedule a course – either at short notice or with a longer period of notice, and without regard for the reason of cancellation – then Cycle Systems will be responsible for:

  • Informing the buyer of the change as soon as the change is known
  • Offering alternative dates of study to the buyer
  • Giving the buyer complete preference as to the alternative course dates subject to availability

After the above process has been undertaken, and if the buyer decides to withdraw their place regardless of the alternative course dates on offer, Cycle Systems reserves the right to refuse refund of any course fees paid to date. Cycle Systems is not able to refund the course cost or any other expenses incurred by the buyer as a result of our cancellation/reschedule/relocation.

In The Event of the Student/Employer Cancelling

Should the buyer cancel their place on a course then Cycle Systems implements the following:

  • If over one month’s notice is given then the customer shall be refunded the course balance less a 100 pounds charge.
  • If less than one month’s notice is given to cancel then Cycle Systems will offer no refund.

Transfer of Course Places

Transfer of course places is at the discretion of Cycle Systems and is dependent upon availability. However, if the buyer decides to reschedule the course for another available date then Cycle Systems will implement the following:

  • With less than one month’s notice for reschedule then a reschedule charge of 100 pounds will be payable
  • With more than one month’s notice there will be no charge and transfer may be made to any available course within 12 month’s of the cancellation date, or within the period for which the funding is applicable, whichever is the soonest.

Transfer of Students Attending

Employers who are sending employees through funded routes may change the name of the student attending up to 24 hours before the course begins at no charge.

Attendance

Students enrolling upon a Cycle Systems course agree to attend the course in full. It is particularly important to check your availability for weekend dates as students are not able to transfer between weekend course dates easily, and Cycle Systems make no guarantee that they will be able to do so.

Suitability of Students

Funded Students

If booking an employee onto a Cycle Systems course, the employer doing so agrees that the student named is at a suitable skill level to attend the course in full, to complete all written work by the end of the course and to pass all practical units. Cycle Systems is subject to stringent quality control checks by the awarding body and uses specific tests to assess the student’s capability. These unit tests are available from Cycle Systems on request. Student suitability is particularly important with Level Three students and the employer agrees that they are happy to verify the named student’s suitability for the course the employer selects for them.

All students will receive adequate instruction for them to achieve as pass. However, Cycle Systems is under no obligation to issue a refund or an alternative course nor incur any expenses if the student does not pass. Resit dates and courses will be provided for the student at Cycle Systems discretion.

The employer also agrees that that no refund will be given if the student does not complete attendance of the course, for whatever reason.

ELCAS Funded Students

Students coming to Cycle Systems’ courses through military re-settlement programmes are expected to have completed all ELCAS administration requirements before attending the course. Evidence of an ELCAS generated CAN number is needed on the first day of the course if it has not been sent in before the start date. Students enrolling agree that if they do not present Cycle Systems with the CAN number at the start of the first course then they are liable to pay for the entirety of the course fees they have registered for privately. Students coming through the ELC funded route are also eligible for the discount on their Level Two. However, the student is responsible for paying the normal full price cost of a Level Two if, for any reason, a Level Three is not completed or ELC funding not applied.

Private Students

Cycle Systems will ensure it clarifies with all private students the course requirements and pre-requisite skills needed to be able to successfully attend a course at the Academy. However, the final responsibility to decide upon suitability lies with the student at time of booking. All students will receive adequate instruction for them to achieve as pass. However, Cycle Systems is under no obligation to issue a refund or an alternative course nor incur any expenses if the student does not pass. Resit dates and courses will be provided for the student at Cycle Systems discretion and subject to availability.

The student also agrees that they will attend the course in full, and that no refund will be given if the student does not complete attendance of the course, for whatever reason. Re-schedules will be offered at Cycle Systems’ discretion and subject to availability.

Students understand that Cycle Systems may be claiming subsidies on their course place if they are available through the various FE college partnerships we hold, and that no further discounts are on offer as the price they have paid already has previously factored these subsidies in.

Attendance Stipulations

All students attending courses at Cycle Systems agree to provide Cycle Systems with a passport and NI number on the first day of the course and to completing any administrative paperwork presented to them – this includes but is not limited to the FE College registration form. For employer-based course places, the employer agrees to verify that the student will make this documentation available and that if these documents cannot be provided by the student they elect to send, that the employer will be responsible for the full, un-subsidized cost of the course as published on the Cycle Systems website.

Joining Our Mechanical Network

Any organization or self-employed mechanic that receives training as a part of this agreement, has the opportunity to partake in a weblink exchange to the Cycle Systems website and agree to have their website displayed as a part of a network of Cycle Systems Academy trained mechanics on the company website.

The organization also will receive the Cycle Systems Academy Accredited sticker and/or poster for display in the shop or workplace. This will be provided along with certificates on completion and passing of a course.

Cycle Systems reserves the right to refuse to include a graduate in the above offer.

Completion of Course Work

Every student is expected to complete the course work by then end of the course dates provided. The employer and/or student guarantees that student(s) will commit to completing the written work and handing it in as the instructor needs.

The Bike Doctor

Cycle Systems will use only accredited and quality mechanics to service your bicycle and are committed to providing you, the customer, with an exceptional customer service experience. The following terms apply to using a Cycle Systems mechanic:

Service Centre

Cycle Systems will do everything it can to repair your bicycle to the requested standard by the end of the working day, unless otherwise agreed with you at booking in. Occasionally, due to unforseen problems with previous bikes, the schedule does run over. If this happens, we will finish your bicycle as soon as we can and will assign it highest priority on any rollover day to complete. You will be informed if this is the case with your cycle.

Bikes must be booked in with us by 9am at the latest unless otherwise arranged previously with the office. If we have not received your bike by 9.30am, please be aware that if we are busy and have demand, your slot will be allocated to another customer.

All jobs and exact cost will be agreed with customer on drop off – if anything changes (eg we might uncover further problems as we open the bike up), the customer will be notified and agreement sought before work is carried out/additional parts are fitted.

Any bicycles not collected by the end of the day as agreed and left with Cycle Systems for more than 24 hours – unless through a scheduling error of our own or through the customer ordering/having to wait for a specialist part to arrive – will be subject to a ten pounds (excl) per day storage fee. This will be added to the customer bill upon collection.

Cycle Systems has a policy of not fitting parts sourced by the customer. There are very rare exceptions to this – for example if the customer has a unique or extremely hard to source part that we would not otherwise be able to order in for them. This is to maintain both quality of parts fitted and to ensure that warranties are in place should anything go wrong with the part. Parts will be charged for at standard RRP.

Any specialist parts we need to order in must be paid for at point of order. There can sometimes be a wait of up to a week depending upon the supplier for specialist parts but Cycle Systems will keep you informed of any parts order status.

Mobile Servicing

To book the mechanic to schedule your appointment a booking fee of 25 pounds is charged. This booking fee is fully refundable provided you keep your appointment and are available for the Bike Doctor on time when they arrive. As we keep to a very tight schedule of appointments and because there is some travel involved for the mechanic between jobs, we are unable to begin working on a cycle if the customer is 15 minutes or more late for their booking.

By booking the Bike Doctor you are agreeing that there is a suitable, safe space (2m x 2m) for him/her to work in when they arrive. Should the space present unacceptable risks to the mechanic, they will be unable to perform the work and the booking fee will not be refundable.

At point of booking you will have been asked some questions about your cycle and the state of repair/issues presenting. Cycle Systems may advise you then that the mobile service is not suitable for you. However, if we arrive and the cycle is not serviceable and we had not previously diagnosed this, your booking fee will be refunded. If we arrive and your cycle will cost more money to service than you had hoped and you refuse work on the basis of cost alone, your booking fee is not refundable.

Likewise, if your cycle would not be safe after we have worked on it and we have not diagnosed this previous to your visit, then the booking fee will be refundable. However, if we can make your cycle safe but you do not wish to engage us in the work to do so, then we will be unable to perform any work on the cycle and your booking fee will not be refundable. If we uncover the need for specialist parts, you will have the opportunity to order them through us. You will not be charged a booking fee for your second appointment for us to fit it – although the standard call-out fee still applies to the bill.
